These conditions protect volunteers, trainees, professionals and AMAIDI. Please read very carefully AMAIDI's terms and conditions before sending in your application. By reading our terms and conditions you will have a clear understanding of our expectations and your responsibilities to AMAIDI.
Wherever we mention in this document volunteers we mean volunteers, trainees and professionals.
RESPONSIBILITY
  1. The volunteer is solely responsible for every action taken in the preparation for the project (including the flight), during the project and after finishing the project during the rest of his/her stay in India.
  2. The above applies both in case the volunteer comes to India on his own accord or comes via a sending organization.
  3. AMAIDI accepts no responsibility whatsoever for cases of force majeure (according to law).
  4. AMAIDI is not responsible for any personal items left in its guesthouse, in its home-stays, in work or in any other place.
PRIVACY
  1. Unless explicitly asked by the volunteer in writing, AMAIDI will keep his/her CV, motivation letter, as well as all the relevant email correspondence, in file.
  2. If the volunteer does not wish to receive AMAIDI's newsletter, he/she should inform AMAIDI in writing.
INSURANCE
  1. We strongly recommend that all volunteers take out a travel or medical insurance policy in their home countries.
  2. If the volunteer participates in the Indian traffic or is exposed to any other risks, he/she has the responsibility to ensure that his/her travel- or medical insurance policy covers these. In the above cases, AMAIDI can not guarantee a person's safety, therefore this organization can not be held responsible for personal injury, damage to the vehicle or any other thinkable damage.
  3. AMAIDI expects the volunteer to ensure that his/her total insurance package includes a third party insurance to cover costs connected with his/her limited liability.
  4. In the case where damages are caused to third parties, all the expenses claimed from AMAIDI that originate from the above-mentioned incident will be charged to the volunteer, who will have no right to later claims.
VOLUNTEER PROJECTS
  1. Before AMAIDI will start looking for a suitable project, the volunteer must fulfill two conditions:
    • Read the terms and conditions and submit the filled up application form.
    • Pay 25% of the amaidi fee in advance. This is a non-refundable amount. The other 75% is payable in Rupees within 2 days after arrival.

  2. AMAIDI holds as a fixed policy a minimum commitment of one month at a project, unless the partner makes an exception.
  3. The final decision regarding the acceptance of a student in a project will be taken by AMAIDI in dialogue with the partner.
  4. A contract between AMAIDI, the receiving partner and the volunteer will be drawn up and signed after the introduction meeting with the project partner.
  5. AMAIDI handles the following procedure regarding volunteers. At the start of the project, there will be an introduction meeting where the expectations of both parties (partner and volunteer) will be discussed. Furthermore an intermediate evaluation meeting will take place, at least once during the project period. An end evaluation meeting, with both parties together or separately, will take place once the project is accomplished.
  6. The volunteer is expected to work till the end of his/her placement; if he/she abandons the project before the agreed period has ended, no refund on accommodation or the AMAIDI fee will be granted, unless in case of calamities for example death of a relative etc.
  7. It is not possible to change projects (that is, go and work on another project) once the volunteer has started unless he/she has irreconcilable problems on his/her first project.
  8. Volunteers are responsible for all of their expenses during their placement, including accommodation, meals, daily transportation, guidance and other costs. AMAIDI takes it as a fact that the volunteer has read the information on AMAIDI's website regarding the fees.
  9. AMAIDI reserves the right to terminate a volunteers program, if volunteer:
    • distresses anyone at the volunteer placement and/or AMAIDI organization.
    • continuously refuses to take part in his/her responsibilities or does not comply with any reasonable request by either AMAIDI or the partner organization.
    • is involved in any action that could possibly damage AMAIDI and/or the partner organization.
    • engages in missionary-, political and/or criminal activities.
    • causes nuisance due to excessive alcohol intake in or outside the designated places and/or the use of marihuana and/or other by Indian law prohibited drugs.
    • violates any condition outlined in this agreement.
  10. In case of termination of the volunteer's program, volunteer will be asked to leave AMAIDI guesthouse or AMAIDI Homestay within 48 hours. There will be no refund, whereas outstanding bills still have to be paid.
AIRPORT PICK-UP
  1. Volunteers will be picked up from the airport on request; in case a volunteer wants to be picked up, he/she is requested to inform AMAIDI of the flight schedule at least 2 weeks before arrival.
VISA
  1. Every volunteer must obtain a valid visa to enter India, to be obtained in his or her nearest Embassy/Consulate.
ACCOMODATION
  1. AMAIDI Guesthouse will accept a guesthouse booking without an advance deposit. In return, we expect the volunteer to honor his/her agreement to stay with us for the whole booked period.
  2. In case a volunteer is temporarily absent due to traveling, he/she will nonetheless be charged the room rent during his/her absence.
  3. In case a volunteer is going to travel after completion of the booked period, he/she can leave his/her luggage behind to pick it up later against no extra costs.
  4. The volunteer will be charged for the replacement of items broken either intentionally or through his/her negligence on the next or final bill.
  5. The approval of any changes, such as a reduction of the number of days or changes of dates, once a booking is confirmed, is at the discretion of AMAIDI only.
  6. In case AMAIDI Guesthouse is fully booked, volunteer may be placed in other types of accommodation of the same quality, regardless of the tariffs.
COPYRIGHT
  1. AMAIDI reserves the right to use all photos taken during the volunteer's stay unless the volunteer has explicitly refused permission. The initiative lies with the volunteer.
